FAQs (For Volunteer Teachers)


Particulars of Tuition Sessions

1). How many sessions are there a week? How long is each session?

Usually the tuition service is offered once a week, 1 hour per session, and on a continuous basis for at least 3 months. We hope the volunteer teacher and the student could build a long-term relationship. Therefore, if time allows, we hope that the volunteer teacher would continue to provide the tuition service for the student.

2). Can I choose the subject as well as the level of difficulty to offer tuition?

You may choose the subject(s) and level(s) that suit your own ability and interest. Please notify us at the time of registration so that we can do our best to suit your requirements.

  • Subject(s) to offer: you may choose more than one
  • The highest level you can teach: you may choose from P.1-S.6

If there are special requirements, for example, the volunteer teacher would like to provide tuition to higher level students, please make it known to us in the Remarks column. 

3). Where are the sessions carried out? Can I do this at the student’s home or mine?

In the interests of both the teacher and the student, the sessions will not take place at the home of the teacher or the student. Instead, the tuition venue should be a safe and public place where tutorials are allowed and a third party is present. Generally it would be a fast food restaurant in the district which the teacher and student choose.

Please inform us via the online application form for volunteer teachers the districts which are convenient to you for providing tuition sessions. If you do not mind providing cross-district tuition, please state so in the Remarks column.

4). Would fast food shops be too noisy for the sessions? Do we get driven away?

When we do our liaison and pairing work, we will assist you and the student in looking for a suitable venue near your homes. Normally, the venue will tend to be a chain fast food shop which is quiet and has more seats. On the day of the first appointment, our staff member or volunteer will go there in person for an on-site inspection to ensure that the venue is suitable for the provision of tuition. If the venue is too crowded or noisy, or in the rare case that you and your student are treated insolently, we will assist the both of you in locating another venue nearby.

5). Are the sessions held during the weekdays/weeknights or at the weekends?

The time for the tuition sessions is arranged in accordance with the requests of both you and the student. The sessions can fall on a weekday/weeknight, and they can also be held on Saturdays or Sundays. Usually they are held once a week for 1 hour each. Please inform us on the online application form for volunteer teachers the days and times convenient for you for the provision of tuition sessions. You may choose:

  • 3 sessions from Mondays through Fridays from 09:00 to 20:00;
  • 3 sessions on Saturdays from 09:00 to 19:00; and/or
  • 3 sessions on Sundays from 09:00 to 19:00.

If you are only available for tuitions on certain days, say Wednesdays or Fridays, please let us know in the Remarks column. If you are unable for tuition on certain days or during certain time slots, leave those blank.

 

Registration

1). How to register as a volunteer teacher?

Once you press the ‘Submit’ button after you have filled out our online application form, your application is automatically received.

2). I am not a registered teacher, nor do I have any teaching experience. Am I eligible?

It does not take relevant teaching experience or qualifications to become a volunteer teacher. So long as you possess academic qualifications of higher secondary education or above, have no sexual conviction records, and undertake to serve continuously for at least 3 months, you can become a volunteer teacher. As a matter of fact, most of our volunteer teachers are not in-service teachers, but still you can help the students as long as you have the heart and patience. We do hold training and sharing sessions every now and then to enable you to offer more effective help to the students.

3). Does a volunteer teacher receive salary payments or travelling expenses?

Owing to limited resources, we are unable to pay our teachers any remuneration or traveling allowances. All tuition sessions are offered on a pro bono basis.

4). Do the hours spent on pro bono tuition count towards voluntary service hours?

We are a charitable organization, approved by the government. The hours spent on pro bono tuitions count towards voluntary service hours. If countersigning is required for such hours, please call 36210925 to arrange for the procedure to be processed.

5). Can I update or cancel the particulars registered?

If you need to update your particulars or cancel your application, please call 36210925 or email info@hkcnc.org.hk.

 

Pairing

1). It has been quite some time since I registered but I still have not been notified to start giving tuition. Why is that?

As we have limited manpower and need to accommodate and satisfy the requirements set by both you and your prospective student(s), for instance the subject(s) to offer tuition, the level(s), time, district, etc., it may take a while to find a suitable match for the volunteer teacher. Therefore, please be patient and understand the intricacies involved.

2). What is the pairing process like?

We will pair you up with a student, on a one-on-one basis, based on the requirements set out by both of you. Then contact will be made with both of you and confirmation sought for the purpose of the first pro bono tuition session.

On the day of the first appointment, we will appoint a staff member/ volunteer to host the meeting, to confirm your identity as well as that of the student, based on the requirements set out by both of you. Then contact will be made with the both of you and confirmation sought for the purpose of the first pro bono tuition session.

3). Can a volunteer teacher be paired up with more than one student?

We do appreciate and welcome a volunteer teacher to be able to pair up with more than one student. Please let us know in the Remarks column during registration.

 

The First Appointment

1). What will be the flow like?

A day or two before the first appointment, the staff member/volunteer hosting the appointment will call both you and the student to remind them of the time and venue for the appointment, and he/she will also leave his/her name and telephone number just in case.

On the day of the appointment, the staff member/volunteer will arrive at the venue beforehand to find seats and to liaise with you and the student and to meet you. After verifying the identity of both of you and confirming that the student is eligible to receive our assistance, relevant documents will be given out for signing, including Declaration of Sexual Conviction Records.

Moreover, the rationale, format and rules of our tuition service will also be explained to both of you, and there will be sufficient time reserved for the student/parent(s) to give a brief idea of the student’s current studies to you, and to discuss with you to come up with the most suitable mode of tuition. Finally, photo(s) will be taken of you and the student to confirm the pairing for our record.

2). I have not received the prospective student’s personal particulars before the appointment. How am I supposed to recognize him/her?

For reason of privacy, before the identity of the volunteer teacher and that of the student’s is verified by our staff on the spot, we will not pass on the personal particulars of either the teacher or those of the student to the other side. Our staff member/ volunteer hosting the appointment will also be responsible for liaising with the both sides and arranging you to meet up. If you still have not received any telephone calls from us in the morning of the appointment day, please let us know on 36210925 as soon as possible.

3). Does tuition start at the first appointment? What do I need in preparation?

We have reserved time on the day of the appointment, and we have also asked the student to bring along his/her report card(s), exam/test papers, textbooks and homework, etc., so that the volunteer teacher is able to understand how the student is performing at school academically and the difficulties he/she is facing, and then you and the student are able to agree on the most suitable mode of tuition to be given. Depending how the appointment goes and the time remaining, both you and the student may start tuition at the same appointment, or you could both return home and prepare yourselves first and start the tuition on the next occasion.

4). The first appointment has been fixed with the student, but I have to change the date because something has come up, what do I do?

If you need to change the date or time of the first appointment, please call 36210925 at your earliest convenience or contact the staff member/ volunteer responsible for hosting the appointment.

 

Follow-up and Support

1). I have conducted the first appointment. Do I still have to fix the subsequent tuition sessions through your company?

The staff member/ volunteer hosting the first appointment will, on the day of the first appointment, establish a channel of communication between you and the student. For the subsequent sessions, you may liaise with the student/parent(s) directly. If either side is unable to attend a session as scheduled, please let the other side know as soon as possible so that there will not be any needless wait or worries. If you unable to contact the student, please call us on 36210925 and we will handle the matter.

We will also randomly select ongoing tuition pairs to visit and follow up through telephone so as to keep track on the progress and quality of the service provided and to offer timely support to you and the student.

2). Do I need to make a record of all the sessions?

After each tuition session, please record the time and venue of the tutoring session through our APPS “Tutoring Session Record” in order to document your dedication.

3). If I wish to change the date/time/venue for the subsequent tuition sessions, what do I do?

If the date/time/venue of the subsequent sessions needs changing, you may discuss with the student/parent(s) in order to reach a mutual agreement.

4). Can I borrow additional materials or references for the sessions?

Our Volunteer Teachers Centre offers learning materials on different subjects and levels for our volunteer teachers to borrow or make reference to. You are welcome to visit us and borrow materials for free during office hours Monday to Friday, 9:00 a.m. to 1:00 p.m. and 2:00 p.m. to 6:00p.m. (except public holidays).

5). Does your company provide us with teacher training?

We organize various training and sharing sessions for our volunteer teachers, for example, pedagogic seminars, workshops or commendation ceremonies. If you would like to receive our current news on activities and to get in touch with the other fellow volunteer teachers for direct sharing, you are welcome to join our exclusive group for volunteer teachers on Facebook. Please email info@hkcnc.org.hk your name together with your telephone no. and facebook email address for application.

6). If problems occur with the student/parent(s) over tuition, what do I do?

If you have any questions, you are welcome to call us on 36210925 or email info@hkcnc.org.hk. We are always happy to assist.

7). If I would like to terminate my tuition services, what do I do?

If you would like to terminate your tuition services for any reasons, please kindly notify the parent and student. Please also notify us by calling 36210925 or through our [Principal Chan Free Tutoring World] APPS. Please state your reason and effective date of the termination, any assistance that you may need, whether you would be available to provide assistance to other students. If you decide to withdraw from the volunteer tutoring scheme, please return our printed matter to our Headquarters by post.
