FAQs (For Volunteer Teachers)


Basic Arrangement of Tuition Sessions

1). How many tuition sessions are there a week? How long is each session?

Usually the tuition service is usually offered once a week, 1 hour per each session for 3 months. We hope that the volunteer teacher and the student could build a long-term relationship to better help student. Therefore, if the volunteer teacher is still able to free up time for tuition after 3 months plus the student has need and does cooperate with the volunteer teacher, we encourage the volunteer teacher to continue the tuition service for the student.

2). Can I choose the subject as well as the level of difficulty to offer tuition?

You may choose the subject(s) and level(s) that suit your own ability and interest. Please notify us at the time of registration so that we can perform pairing accordingly:

  • Subject(s) to offer: you may choose more than one
  • The highest level you can teach: you may choose from Primary one to Secondary Form six

If there are special circumstances, please let us know in the Remarks field of the online registration form. For example, one may provide tuitions for Mathematics and Economics up to Secondary Form five, but English only up to Primary six. For Mathematics, one may teach in both Chinese and English. But for Economics, one may teach in English only.

3). Where are tuition sessions carried out? Can I do this at the student’s home, my home or my office?

In the interests of both the volunteer teacher and the student, tuition sessions will not take place at the home of the student and teacher, nor office of the teacher. Instead, the tuition venue should be a safe and public place where tutorials are allowed and a third party is present. Usually it will be a fast food shop, café and food hall close to the home of student or that of the volunteer teacher. If necessary and acceptable to both volunteer teacher and student, we also allow online tutoring. At the time of registration, please let us know in the online registration form the districts which are convenient for providing tuition sessions and whether you would like online tutoring.

4). Would fast food shops be too noisy for the sessions? Do we get driven away?

When we do our liaison and pairing work, we will assist volunteer teacher and student in looking for a suitable venue near their homes. Normally, the venue will tend to be a fast food shop, café and food hall which is not too noisy and has more seats. On the day of the first appointment meeting, our representative in charge will go there in person for inspection to ensure that the venue is suitable for the provision of tuition. If the venue is too crowded or noisy, or in the rare case that you are treated insolently, we will assist in locating another venue nearby.

5). Are the sessions held during the weekdays or at the weekends?

The time for the tuition sessions is arranged in accordance with the requirement of both the volunteer teacher and student. The sessions can fall on weekdays, and they can also be held at weekends. Usually tuition session is held once a week and it lasts for 1 hour, please let us know in the online registration form the days and times convenient for providing the tuition session. If you are available for tuition only on certain days and period, say 4pm-6pm on Wednesdays or after 5pm on Fridays, please let us know such details in the Remarks field.

 

Registration

1). How to register as a volunteer teacher?

Please apply through our online registration form ( https://hkcnc.org.hk/?lang=en by selecting ‘Teachers > Register online’ at the top menu bar). After filling, please press the ‘Submit’ button. If you encounter any problems regarding the registration, please call us on 3621 0925.

2). I am not a registered teacher, nor do I have any teaching experience. Am I eligible?

It does not take relevant teaching experience or qualifications to become a volunteer teacher. So long as you possess academic qualifications of higher secondary education or above, have no sexual conviction records, undertake to serve continuously for at least 3 months and you are able to communicate with students and parents in Cantonese or Putonghua, you can become a volunteer teacher. As a matter of fact, most of our volunteer teachers are not in-service teachers nor professional tutors, but still you can help the students as long as you have a righteous mind, zealous, caring, patient and tolerant.

3). Does a volunteer teacher receive salary payments or travelling expenses?

Owing to limited resources, we are sorry that we are unable to pay our volunteer teachers any remuneration or traveling allowances. All tuition sessions are offered on a pro bono basis.

4). Do the hours spent on pro bono tuition count towards voluntary service hours?

We are a charitable organization, approved by the government. The hours spent on pro bono tuitions count towards voluntary service hours. If necessary, you may call 36210925 or email to info@hkcnc.org.hk requesting for the issuance of certification letter.

5). Can I update or cancel the particulars registered?

If you need to update your particulars or cancel your registration, please call 3621 0925 or email to info@hkcnc.org.hk, please do not submit repeated registration.

 

Pairing

1). How long do I have to wait to be paired up with a student upon successful registration?

As we have limited administrative manpower and need to accommodate and satisfy the requirements set by both you and your prospective student(s), for instance the subject(s) to offer tuition, the level(s), time, district, etc., it may take a while to find a suitable match and work out the pairing between the volunteer teacher and student. Therefore, please be patient and understanding while waiting. Please do not submit repeated registration. If necessary, you may call 3621 0925 for enquiry.

2). What is the pairing process like?

We will contact you and base on the requirements as set out to pair up with a student and then schedule an appointment meeting with the student and parent.

On the day of the first appointment meeting, our representative will take charge of the meeting, including verifying the identities and the eligibility of the student and volunteer teacher, distributing handbooks and documents, explaining rules and guidance of services, exchanging telephone numbers, signing documents, and confirming with the volunteer teacher and the student the details of their subsequent tutorials. Finally, a photo will be taken to acknowledge the successful pairing of the volunteer teacher and the student.

3). Can a volunteer teacher be paired up with more than one student?

One volunteer teacher can be paired up with maximum three students to carry out the respective one-to-one tutorial services. If you wish to pair up with more than one student, please let us know in the Remarks field of the online registration form.

 

The First Appointment Meeting

1). What will be the flow like in the first appointment meeting?

A day or two before the first appointment meeting, our representative chairing the meeting will Whatsapp or telephone both you and the student/parent to remind you of the time and venue for the appointment, and he/she will also leave his/her name and telephone number just in case.

On the day of the appointment meeting, our representative will arrive at the venue beforehand to find seats and to liaise and meet with the volunteer teacher and student. During the meeting, would the volunteer teacher please present HKID for verification of identity and sign the Liability Disclaimer Agreement and Declaration of Sexual Conviction Records. Moreover, our representative will distribute handbooks, explain to the volunteer teacher and student the rationale, format and rules of our tuition service, let both parties to exchange telephone numbers to ease their future communication. There will also be sufficient time for the student/parent to brief the volunteer teacher the current studies of the student, and then discuss with the volunteer teacher to sort out the most suitable mode of tuition and details of the subsequent tutorials. Finally, our representative will take a photo of both the volunteer teacher and the student for pairing confirmation and internal record purposes.

2). I have not received the prospective student’s personal particulars before the appointment. How am I supposed to recognize him/her?

For reason of privacy, before your identity and that of the student’s is verified by our representative, we will not pass on the personal particulars of either the volunteer teacher or those of the student to the other side. Our representative chairing the meeting will be responsible for liaising and arranging you to meet up with the student. If you still have not received any Whatsapp messages or telephone calls from our representative in the morning of the first appointment meeting, please let us know by calling 3621 0925 as soon as possible for our follow up.

3). Does tuition start at the first appointment? What do I need in preparation?

At the first appointment meeting, we will ask the student to bring along his/her report card(s), examination/test papers, textbooks and homework, etc., so that the volunteer teacher will firstly gain an understanding of how student is performing at school academically and the difficulties facing. After discussion, the most suitable mode of tuition will be worked out. Depending how the meeting progresses, time remaining and whether any preparation is required for the tuition, the teacher and student may either start tuition right away or return home to get prepared and start the tuition on the next occasion.

4). The first appointment has been fixed with the student, but I have to change the date because something has come up, what do I do?

If you need to change the date or time of the first appointment meeting, please call us on 3621 0925 or contact the representative responsible for chairing the meeting at your earliest convenience for our follow up.

 

Follow-up and Support

1). After finishing the first appointment meeting with the student, do I still have to schedule subsequent tuition sessions through your organization?

Our representative chairing the first appointment meeting should have already let volunteer teacher and student/parent exchange their telephone numbers during the meeting, so would you please liaise with the student/parent directly for the arrangement of subsequent tutorial sessions.

2). If I wish to change the date/time/venue for the subsequent tuition sessions, what do I do?

If the date/time/venue of the subsequent tuition session needs changing, would volunteer teacher please discuss with the student/parent in order to reach a mutual agreement. In case of unable to attend a scheduled session, please let the other side know as soon as possible so that there will not be any needless wait or worries.

3). Do I need to make a record of all the tuition sessions?

After each tuition session, please record the time and venue of the tutoring session through our APPS “Tutoring Session Record” in order to record dedication of both volunteer teacher and student.

4). Can I borrow additional materials or references for the tuition sessions?

Our Headquarter offers learning materials on different subjects and levels for our volunteer teachers and students/parents to borrow or make reference to. You are welcome to visit in person and borrow materials for free during office hours.

5). Does your organization provide us with teacher training?

We organize welcome briefings, various talks and workshops for our volunteer teachers. If you would like to receive our current news on activities and to get in touch with the other fellow volunteer teachers for direct sharing, you are welcome to join our exclusive group for volunteer teachers on Facebook. Please email info@hkcnc.org.hk your name together with your telephone no. and Facebook email address for application.

6). If problems occur with the student/parent(s) over tuition, what do I do?

If you have any questions/problems, you are welcome to call us on 3621 0925 or email to info@hkcnc.org.hk. We are happy to assist.

7). If I would like to terminate my tuition services, what do I do?

If you would like to terminate your tuition services for any reasons, please kindly notify the parent and student and inform us (through calling 3621 0925 or through our APPS) at least 1 week before the termination. Please state the reasons, effective date of the termination, any assistance that you may need, and whether you would like to be paired up with another student etc.
